1. Vehicle Hire Charge

The camper van hire charge is the total cost including fully comprehensive insurance for the main driver only. Additional drivers can be added at the rate of £8 per day (See note driver eligibility in section 3) Discounts are available for bookings of 21 days or more: – 10% reduction if hire period is 21 days or more, 20% reduction if hire period is 42 days or more.

Additional days can be added if feasible on a daily rate at the time of booking. Please note collections and returns are not available on weekends unless agreed by us at the time of booking.

Typical collection times are between 3-5pm on the first day of the hire period, and the return of the vehicle is between 8-11am on the last day of the hire period. Drop off is at the same address as collection. Collection / return outside of these times may be possible, but will only be agreed on a case by case basis and cannot be guaranteed. We will try to be as accommodating as possible.

1. a. The following is Included in the campervan hire charge:

  • Unlimited mileage.
  • Insurance for one named driver aged between 25-75 years old, covering the UK. Insurance loading. In some cases, Solent VW Campers will incur additional charges if the driver to be insured has a traffic conviction, is using a non-UK driving licence or is in an occupation which is deemed high risk. These charges will be passed onto the customers.
  • UK Roadside assistance / Recovery.
  • Kitchen equipment & campervan equipment. (See van inventories for details)

1. b. The Campervan hire charge does not include the following:-

  • Additional drivers – Additional drivers can be added at £8.00 per day
  • Optional extras – All at various prices, can be booked at any time depending on availability (Please note that allocation of extras will be done on a ‘first paid for’ basis.)
  • Security Deposit: – A security deposit will be held by the owner: – £600.00, (& £750 for festival hire) This is payable 7 days prior to the start of the hire period and will be returned to the hirer within 7 days after the return of the vehicle*. This allows any loss, damage, fines or penalties to be received and identified. Penalties and fines will incur an administration fee of £30.00. Breakage charges and any other costs will be charged at the owner’s discretion due to inconvenience and potential loss of revenue.

The hirer irrevocably authorises Solent VW Campers to deduct any amounts payable, arising out of this agreement from the security deposit to Solent VW Campers. *The security deposit will be refunded in full provided the vehicle and any extras have been returned to the agreed location, undamaged, with a clean interior & a full tank of Diesel. (Failing that, fuel will be charged at cost, plus a £30.00 surcharge). We also reserve the right to retain a £75.00 valeting fee if the Campervan is not returned with the interior in a clean condition. In addition, the toilet (if applicable) must be emptied prior to the return of the vehicle or an additional £45.00 soiling fee will be charged. Other minor damage will be assessed upon inspection & after obtaining quotes for repair. In these instances, the remaining amount will be returned after repair costs have been deducted.

2. Bookings & Reservations

A £150.00 deposit secures your booking. This is non refundable and will be deducted from the final balance payable. This must be made via a traceable means. We are sorry but we are unable to accept cash payments.

Your deposit is your acknowledgement of your acceptance of the booking contract and Terms and Conditions of hire, and your agreement to be bound by them. The outstanding balance of the hire charge is due 6 weeks prior to the commencement of the hire period.

We will do our utmost to accommodate alterations to booking dates, but this may not always be feasible. The first alteration will be free of charge. Any subsequent alterations requested will be subject to a £30.00 administration fee.

If your requested date is within 6 weeks of the date of booking, the full balance is due at the time of booking.

3. Eligibility to hire from Solent VW Campers

Each driver must be present when collecting the vehicle and will be required to complete a ‘Driver Declaration Form’ and supply the appropriate supporting documentation.

3. a. UK driving licence holders need to provide the following to enable vehicle rental and insurance:

  • Completed Driver Declaration Form.
  • Original Driving Licence and Passport plus a photocopy of both sides of the Driving Licence and Passport for us to retain on file.
  • Two utility bills issued within the previous 90 days confirming the name and address. This must be the same address as shown on the driving licence. Utility bills, council tax, bank or credit card statements are acceptable. Please note Mobile phone bills cannot be accepted. (We are required to keep copies of all documents for a period of three years for insurance purposes). Privacy Policy.
  • DVLA check code, issued within the past 21 days prior to the start of the hire period to allow a DVLA licence check. https://www.viewdrivingrecord.service.gov.uk/driving-record/licence-number

The owner reserves the right to cancel the Campervan hire if, at the presentation of the documentation they are found to be invalid; not in accordance with the required conditions; or if insurance is declined for any reason. Note that rental fees will not be refunded.

3. b Age restrictions

To meet the insurance criteria, drivers must be aged between 25 and 75. Driver’s aged between 76 and 79 will be considered on a case by case basis and will incur a higher excess and a higher security deposit.

For insurance purposes, all drivers must have held a full UK Driving Licence for at least 24 months prior to collection of the vehicle. There can be no exceptions to this requirement.

4. Insurance

The vehicle hire charge includes Fully Comprehensive vehicle insurance cover provided by Alan Boswell Group Insurance. You are insured under the terms of the policy against any liability, loss or damage that occurs during the hire period as specified in your rental agreement.

Note that a £600.00 excess is applicable for each claim incident, except whilst on festival hire when an excess of £750.00 applies.

You are not covered for any liability for death, injury or damage when the vehicle is not on a public road.

You are not insured for deliberate loss.

Should the insurance policy become invalidated for any reason, the hirer will be held responsible for all costs, third party costs and liabilities, and agree to indemnify Solent VW Campers from all liability.

You are not insured for:-

4. (a) Windscreen, glass and tyre damage; Loss / damage or theft to aerials, dash cam, radio and stereo equipment; minor damage to vehicle paintwork; damage to the interior of the van, seats, flooring or any equipment., or any equipment on hire.

4. (b) Hirer and passenger’s personal belongings:-

Neither the owner nor the insurance provider are responsible for any loss or damage to any of the hirers’ or passenger’s personal possessions. Any claims for loss or damage of personal possessions should be directed to the hirer’s travel insurance provider.

4. (c) Travel Insurance

This is your responsibility. We strongly recommend that you take out travel and personal insurance to cover each eventuality.

4. (d) What to do if you have an accident.

If you have an accident you must not admit responsibility. You should:-

  • Stop the car as soon as safely possible. It is an offence not to stop.
  • Turn off the engine and switch the hazard lights on.
  • Check for injuries to yourself and your passengers.
  • Ensure you get the names, addresses, phone and email address of everyone involved, including witnesses and the attending police officers if applicable.
  • Take note of the exact time and date, location of the accident, the surrounding environment, weather conditions, road signs and markings etc. and if possible, please take photos of all vehicles involved from a safe position. Complete the Accident report form which is in the glove box.
  • Notify the other parties of the insurance policy: – Alan Boswell Group Insurance.
  • Make the vehicle secure – if safe to do so.
  • Tell us as soon as possible so that we can inform the insurance provider.
  • Ensure you get a copy of the accident report from the police if applicable.

5. Collection

Collection of the vehicles is between 3-5pm on the first day of the hire period. Collection outside of these times may be possible, but will only be agreed on a case by case basis and cannot be guaranteed.

Collection is from 1 William Close, Stubbington PO14 2PQ

On collection, please allow between 45-60 minutes for a hand over and inspection / walk round which needs to be completed prior to driving the vehicle away.

There may be parking available to leave your car with us during rental period but this is done so at owners own risk. (Please check with us first).

6. Return

Return of the vehicle is between 8-11am on the last day of the hire period. Drop off is at the same address as collection.

The vehicle is only insured for the agreed rental period. As such, after the agreed drop off time the hirer will be driving without insurance which is an offence under The Road Traffic Act which incurs a fixed penalty of £300 and 6 penalty points. Should late return of the vehicle result in delays to subsequent hires or other arrangements, the owner reserves the right to pass on any consequential costs to the hirer.

The owner and hirer will do a joint ‘return inspection’ of the vehicle on drop off. If faults and damage are discovered after the hirer has departed, photos will be taken and emailed to the hirer immediately.

No refund is given for early return of the vehicle.

7. Travel.

The hirer is only permitted to travel in the U.K (Excluding Ireland which may possibly be arranged on a case by case hire). Travel to Europe is not available at the moment but we are planning to introduce this in the future.

8. Dogs

We accept dogs provided they weigh no more than 25kg and are well behaved and don’t chew or scratch furniture. Dogs are not permitted to sleep on the beds. There is an extra charge of £40.00 which covers a deep clean of the interior and the changing of seat covers after the hire period. This is listed on the optional extras page on the booking form. This is subject to a maximum of 1 standard sized dog or two small dogs. Current legislation must be followed – Rule 57 of The Highway Code states that the driver of a vehicle travelling with a dog in it must do the following: “When in a vehicle make sure dogs or other animals are suitably restrained so they cannot distract you while you are driving or injure you, or themselves, if you stop quickly.

9. Cancellations

9. a In the event of a cancellation the following applies:

Cancellations between the time of the confirmed booking and 6 weeks before the rental period- the booking deposit is forfeited.

Cancellations between 6 weeks and 1 week of start of the rental period – the booking deposit plus 50% of the balance of the hire charge will be incurred.

Cancellations less than 1 week before the hire period commences – 100% of the total hire charges are forfeited.

However, if we do manage to get another booking for the same van, for the same hire period we will waive the cancellation fee but not the booking deposit.

Booking dates can be changed up to six weeks before the hire period commences. A new hire period can be selected on one occasion only. If you change your booking date, we will only honour booking deposits for a period of 2 years from receipt after which time the booking deposit is forfeited.

9. b Cancellations out of our control:

In the unfortunate event that the campervan has been stolen or damaged on the previous hire, or has become unserviceable due to mechanical failure, adverse weather or any other reason, prior to your hire period we will do our utmost to provide an alternative vehicle. However, if we are unable to provide a replacement vehicle, a full refund of all monies paid will be given. We cannot accept responsibility for missed commitments, events, travel arrangements, campsite bookings due to any circumstances out of our control. We strongly advise you take out your own travel insurance to cover these unlikely eventualities.

11. Your Responsibility and Obligation.

  • Security / keys: You must look after the vehicle and the keys to the vehicle, ensuring that it is locked and secure when you are away from it, and when appropriate – using all security devices available. You must not leave keys in the ignition or anywhere on view to prevent theft. You are responsible for the loss of keys and any consequential costs arising from losing them.
  • Fuel: You must ensure that only Diesel fuel is put into the vehicle. Any consequential costs arising from using the wrong fuel will be charged to the hirer.
    You are responsible to ensure the vehicle is returned with a full tank of fuel. Failure to do so will incur a £30.00 surcharge plus the cost of the fuel.
  • Smoking: You are responsible to ensure no person smokes in the vehicle or in any of our tents or awnings. Failure to comply with this will result in a deduction from the security deposit held, at our discretion.
  • Miscellaneous Charges: You must ensure timely payments for parking, road tolls, bridge charges, congestion charges, and any other charges. All penalties and court costs for missed payments and offences incurred during the hire period will be taken out of the hirer’s security deposit with a £10 admin fee per penalty. You agree to indemnify the company from any liability.
  • Weather: In bad weather, you must ensure that the vehicle is secured; all awnings and pop top / tents are retracted, locked or stored away.
  • Use of Vehicle: You must drive in a responsible manner, abiding by the Highway Code at all times. You must also ensure that you only carry passengers equal to the number of seats / seatbelts.
    You are liable for any damage above driver cab height i.e 2.2 metres. You are fully responsible for damage caused by failure to assess the height of the van and striking overhead or overhanging objects. You will indemnify us against any liability, caused by damage to overhead or overhanging objects and subsequent damage to third parties and their property. You will also be responsible for any damage to third parties and their property that arises through your negligence; for example and without limitation: damage caused through loaded luggage and cycles.

**Please take note of the height of 2.2 m clearance of van, and be aware of the additional height of bike handlebars if the bike rack is in use** as damage will result.

  • You acknowledge that we continue to hold title to the vehicle.
  • You must not sell, rent or dispose of this vehicle or any of its contents. You must not give anyone legal rights over the vehicle.
  • You must not let anyone else work on the vehicle without the owner’s written consent.
  • You must alert the owner immediately that you find a fault with the vehicle.
  • You must keep the vehicle clean or a surcharge may be incurred for cleaning required beyond our standard cleaning service. You are not obliged to clean the outside of the vehicle. We prefer to do this ourselves on return of the vehicle.
  • You are responsible to ensure the vehicle is returned in the same condition as it was received, on the specified date and are liable for any repair/replacement costs to the interior of the vehicle when damage has been caused by lack of care; including – but not limited to- the pop top roof, the heating and water systems, fridge, mattresses, fixtures and fittings and all of the inventory items. Any damages will be deducted from the security deposit.
  • The vehicle must not be used off road.
  • The vehicle must not be used to carry large heavy loads or be used to carry rubbish to a refuse site.
  • The vehicle must not be used to launch and retrieve boats and watercraft or come into contact with salt water.

**Please note these responsibilities cannot be passed to anyone else**

12. Rights of The Owner.

12.a Road & Weather Restrictions

We reserve the right at our discretion to restrict hire in certain locations, at certain times or in certain circumstances due to adverse or unsafe road or weather conditions.

12. b Ending the hire agreement.

We reserve the right to terminate the agreement and take back the vehicle for any reason including but not limited to the following:-

  • If any part of the Hire Agreement has been breached.
  • If the vehicle has been abandoned.
  • If the vehicle is not returned on the agreed date.
  • If we have a reasonable cause to believe that the vehicle is being used in a dangerous or an unsafe manner.

13. Our Privacy Statement

Solent VW Campers Ltd. is committed to protect, respect and value your privacy and your personal data held on the booking system. We are required to retain all relevant information for a period of 3 years following all hire agreements in order to comply with the motor vehicle insurance policy. See our Privacy Policy

14. Governing Law
